How To:

  • You can add or edit business details anytime through the “My company” tab
  • Set up one or more entries depending on your needs that you can select between when creating a quote
  • “Quote Paramaters” and “Terms and Conditions” are also added and edited in your business details for quote population. There are samples of both preloaded in BrushHand that you can chance/remove as you need.
  • When uploading your logo ensure it fits in the guide box, this ensures your logo fits on the quote template

How To:

  • You can add or edit clients anytime through the “Clients” tab
  • To enter clients manually select “Add Client” or you can upload clients using  “More > Import Data” on the top right of the “All clients” view. (“Export” also available)
  • Select a client in “All Clients” to view previous and current quotes

BrushHand Quoting Tool — How to Create a Quote (Instruction Guide)

Before you start make sure you have:

  • Company details set up
  • At least one client added
  • (Optional) Custom Metre Rates and Paint Library set up for personalised quoting

Create a New Quote

You can start a quote from the Quick Access bar or the Menu → New Quote.
Enter a Job Title/Nickname to differentiate quotes.

Step 1 — Job Details

Fill out:

  • Job Title
  • Company Profile
  • Client
  • Confirm job address
  • Charge-out rate
  • (Optional) Custom Metre Rates

Step 2 — Choose Quoting Method

A) Original Method (Form-Based)

  • Best for room-by-room or area-by-area quoting.
  • Select surfaces, add measurements, choose substrates and coats.
  • System calculates hours automatically.
  • Extras: Add custom items not covered in standard fields.

B) The Grid (New Method)

  • Best for fast quoting and exterior work.
  • Enter area, surface name, substrate, measurements, coats.
  • All calculations visible on one line

Step 3 — Quote Photos

  • Add 0–6 photos. Template adjusts automatically.
  • Extra internal-only photos can be uploaded for record keeping

Step 4 — Materials & Final Pricing

  • Option 1: Percentage-based materials.
  • Option 2: Select paints from the Paint Library for exact litres/tins required.

Step 5 — Totals

  • Option to add Job Set-up/Pack up hours
  • Check totals 
  • Adjust quote Coments

Step 6 — Sign/Submit/Download

  • Sign and Schedule the job in (optional)
  • Download the generated PDF.

Personal Painter Index (PPI)

The Personal Painter Index (PPI) is a BrushHand performance tracking feature designed to help painting businesses measure staff productivity in a fair and consistent way.

PPI compares the speed at which staff complete painting tasks against your business’s Custom Metre Rates, while also factoring in each employee’s hourly pay rate. This allows business owners to see which team members are performing the most efficiently across the team — regardless of pay differences.

By using PPI, businesses can gain valuable insights into:

  • Individual staff productivity

  • Performance across different substrates

  • Team rankings based on efficiency

  • How performance compares relative to pay rate

Where to Find PPI

PPI can be accessed from:

My Company → Staffing Panel → Staff Performance

From the Staff Performance dashboard, employers can:

  • View a summary of PPI metrics

  • See which Custom Metre Rates are being used for performance measurement

  • Review and approve staff submissions

  • View staff rankings and average PPI scores

PPI Setup Requirements

To use PPI, two things must be configured.

1. Staff Hourly Rates

Each staff member must have their total hourly pay rate recorded in BrushHand.

2. Custom Metre Rates

You must select a Custom Metre Rates record to measure staff performance against.

If you already use Custom Metre Rates for quoting, simply enable:

Use for PPI = Yes

Once enabled, that rate set will appear on the Staff Performance dashboard and will be used to calculate performance scores.

How Staff Submit Performance Entries

Staff members can submit their performance data from:

Portal Dashboard → PPI tab

Here they can:

  • View their previous entries

  • See their Average PPI

  • See their Highest PPI

  • Add or edit entries (until approved)

Adding a PPI Entry

To submit a new entry:

  1. Click New Entry

  2. Use the built-in calculator to determine production rates

  3. Enter the calculated rate into the relevant substrate field

  4. Submit the entry for approval

Staff can also save entries as Draft if they want to continue adding data throughout the week before submitting.

Using the Built-In Calculator

The calculator helps staff convert their work into the rate format used by BrushHand.

Different substrates may be measured in different ways, such as:

  • Square metres per hour

  • Linear metres per hour

  • Time per item (for example doors)

Example: Walls

If a painter completes 30 m² of walls in 120 minutes, the calculator converts this into the correct m² per hour rate used by BrushHand.

Example: Doors

If it takes 40 minutes to paint one door, the calculator converts this to hours per door.

The calculated value can then be copied into the relevant substrate field.

Draft vs Pending Approval

Entries can have two statuses.

Draft

  • Staff are still working on the entry

  • Employers do not need to review yet

Pending Approval

  • Entry has been submitted

  • Waiting for employer review

Once submitted, staff can still edit the entry until it is approved.

Employer Approval Process

When a staff member submits an entry, it appears on the Staff Performance dashboard as Pending Approval.

The employer can then:

  • Review the entry

  • Approve the submission

Once approved:

  • The entry contributes to the staff member’s Average PPI

  • The score appears in the team ranking chart

Understanding the PPI Fields

Field Count

Field Count shows how many substrate fields were used in the entry.

Higher field counts typically provide more accurate performance data.

Businesses may choose to set internal guidelines, such as requiring staff to complete a minimum number of fields.

Base PPI

Base PPI measures a staff member’s productivity against the selected Custom Metre Rates.

It does not yet factor in pay rate.

  • A score around 100 means performance aligns with the expected rate

  • Scores above 100 indicate faster performance

Final PPI

Final PPI adjusts the Base PPI by factoring in the team’s average pay rate.

This allows businesses to fairly compare staff members who earn different hourly rates.

For example:

  • A higher-paid painter is expected to perform faster

  • If a higher-paid painter is only slightly faster than a lower-paid painter, the PPI score will reflect this

This provides a clearer picture of productivity relative to labour cost across the team.

Team Performance Ranking

The dashboard also includes a team ranking chart that shows:

  • Average PPI for each staff member

  • Team performance comparison

  • Top performing painters

This allows business owners to quickly identify:

  • High performers

  • Skill gaps

  • Training opportunities

Not just yet—Team, Crew, and Enterprise plans with individual staff logins are coming soon. For now, you can share your company login with your team if needed, but keep in mind they’ll have the same level of access as you do. We recommend using caution until staff logins are officially released.

Absolutely. BrushHand works on smartphones, tablets, laptops and desktop computers. You can quote jobs on-site or back at the office—whatever suits your workflow.

We keep your data for 90 days after cancellation in case you change your mind. You can also request immediate deletion.
